Accuracy of Vertex tax determination and complexity of taxing jurisdictions makes for better customer experience as well as quality reporting to the tax authorities

My organization is using both Vertex O and Vertex Returns and reporting for calculating, validating, and reporting sales tax and VAT. We are using Vertex for both sales and purchase activities. Tax calculation and validation are fully automated with Vertex. Vertex is connected to our ERP system, that is Oracle. Oracle and Vertex can work together very easily.

Vertex is less appropriate for real-time reporting for Hungary. Vertex is the best for maintaining and updating tax rules and changes. It helps to automate tax calculations. With Vertex we are able to meet tax changes (for example, the tax rate change was very smooth for Switzerland and Singapore), we did not need to do anything, but testing.

We primarily use Vertex to support our sales transactions. Vertex calculates our US Sales and consumers use tax. We also use it for all foreign VAT tax. All of our sales tax exemption certificates are handled with in the Vertex system as well.
  • Keeps up on the tax law, frequently updating they system to reflect changes.
  • Vertex has great reporting capabilities that enables us to use data for trends in purchases, managing licensing requirements, and carries over into the income tax reports for apportionment requirements.
  • Innovative - continually improving their processes, including feedback from customers to develop the next new tool to make tax calculation and reporting easier.
  • Some of the reporting tools are only usable to those on the Cloud platform.
  • A lot of the import/export/ and monthly reporting processes could be automated.
  • While this is minor - the app is missing some features that would add convenience. For example, the ability to choose multiple reports to delete at once. Currently you can delete one report or all reports - but can't choose a group. You can't create groups or favorites in your profile. If I'm running reports for my US tax, I have to go through the entire list. There isn't a shortcut that allows me to only access those reports.
Vertex is pretty diverse in that it can support large or small organizations. If you're looking for a robust tax calculation engine then Vertex is a great option. It offers the sales and use tax calculations, reporting that supports all tax types and that can be used organization wide, and the ability to prepare the required sales tax returns. They keep up on all the tax rules so you don't have to and their customer service is good as well.

At this point I've not found a reason that it wouldn't be suited in a tax environment.

Vertex is well suited for companies that may have one or many unique taxability scenarios were customization is required. There can be several ways for Vertex to accommodate a special situation (e.g. whether related to a customer, product, state, etc.). I rarely find that Vertex is a limiting factor at achieving a desired taxability result - oftentimes the limitation comes from the ERP/billing system. Vertex can be less appopriate for very niche products or services where a taxability category is not offered.

We use Vertex for US sales tax processing and filing. What we like about Vertex is that it has helped to automate our sales tax calculations through a stable integration with our internal billing system. Their team is also great to work with to ensure our sales tax filings get filed on time. Their tax engine also covers a wide range of products/services when some of their competitors are limited. One area for improvement is that they lack integrations with some ERPs and billing systems.

  • Customizations take some time to learn and set up.
Vertex is good for large quantities of transactions, unique tax codes, and API connections to internal billing systems. You can also customize tax coding as needed. Overall it is a very powerful sales tax tool that is well-suited to more complex businesses. For companies with single product lines, it may be more than what they need.

Vertex O is being used in the US and Canada for both sales and purchases. It is not used globally. We use it for sales, purchases and exemption certificates.

  • We have an issue with the tax drivers, for us, it is material groups and that isn't always taxed in the same manner across states.

Vertex is well suited for large manufacturing companies that sell to all states. All the rates are automatically applied. Like any system, it's all in the configuration, so it takes a lot of work to implement Vertex.

We use Vertex O series On Demand for Sales and Purchase transactions at Covestro and at Bayer Corp. Covestro LLC is a Chemical company, with a BIG presence in Texas. At Bayer Corp we used it for Healthcare, Animal Health, CropScience, and Chemicals and had a presence in many States. We support US Sales and Use tax, Canadian VAT tax, and Vertex Consulting (Hal Burchfield) assisted us with a VAT implementation for a number of EU countries. At Covestro LLC, we may be interested in a Brazil implementation when we begin our S4 Hana upgrade project in 2024.
  • Great monthly updates of rates and rules and locations
  • A very flexible tool for user defined decision making
  • Ability to customize for specific scenarios that may be specific to our Company
  • We pay Vertex compliance to put numbers on our Tax returns. Tax manager would like them to pick up our monthly files rather than him having to supply them. I'm not sure if that will ever happen, but the Tax manager said he never has to massage the data.....just gathers the Tax2000 reports and provides.
  • Would like to see some of the LCR Dixon tools to become part of the standard delivered functionality now that Susi is part of Vertex now. Especially the New testing tool. I asked about this at conference, but they are still evaluating all that.
I have been using this tool for 23 years now and have forged a wonderful relationship with the heavy hitters at Vertex. They are always helpful and when I pick up the phone with a specific question, they answer!! I am trustful of the software and the people at Vertex. I never want to use another tax calculation software. Vertex is second to none!!

We are using the Vertex O Series as our tax engine and primary reporting tool. We have 60-plus operating companies that use two different billing systems. We use Vertex O Series to calculate the tax across both billing platforms and then pass that data to Vertex Returns for compliance reporting. Vertex O is able to handle complex taxing issues and calculations for us across both billing platforms so we are confident that the tax charged on the invoice is correct.
  • Report generation. We can rely on a range of reports with very detailed data to high-level summaries.
  • Easy export of sales and tax data from Vertex O Series to Vertex Returns for compliance reporting.
  • Ability to assign roles and levels of what users can and cannot due within Vertex O Series. Very much needed for segregation of duties and SOX compliance.
  • I would like to see the communication between Vertex O and Vertex Returns and a bit more shored-up. Specifically in the Tax Area ID world. It seems like there are times where a tax area id has been retired in O but still exists in returns.
  • I would like to be able to search more invoices within the Standard Invoice Detail Report. Currently, the invoice number field has a character limit that is very frustrating to work with.
  • I would like for there to be a progress bar feature when running reports and/or not to have to "Refresh" to see when a report or task is complete.
  • I would also like to be able to kick off a report and have Vertex O notify me when the report is done.
Vertex O is very well suited when dealing with a large volume of invoices and/or across many states. Vertex O Series can provide very accurate taxing and great detail in those tax calculations.

Our company uses Vertex for sales transactions in the US and Canada. We do not use Vertex for any purchase transactions. Vertex calculates all sales/use and VAT (Canada) for our company. Our company also uses Vertex Returns for filing sales tax returns. We utilize Vertex's RateLocator tool for tax rate lookups. Our company does not currently utilize the Vertex Exemption Certificate Manager, but we plan on doing so in the future.

Vertex has been a very reliable and accurate tax calculation engine in the 9 years I have used it. It is relatively easy to learn and to teach others how to use its functionalities. Vertex does a really good job in ensuring that the tax rates are updated and they release an update once a month prior to month end. Customer service responds quickly to issues. The Vertex Returns package is very use to use and it is quite easy to transfer the data from Vertex L/O into Vertex Returns. Vertex's RateLocator tool is very simple but effective in looking up tax rates, either by jurisdiction or by zip code.

Vertex requires strong technical knowledge to achieve full performance & functionality. I don't believe it's a plug-and-play resource.

My organization uses Vertex for sales transactions both online and in brick and mortar. We do have a huge variety of SKUs and multiple product classes that need to be mapped properly to allow the correct taxation of our product. We do use the engine to provide us with use and sales tax for both US and Canadian transactions.
  • Testing transactions.
  • Tax break down.
  • Easy access to XMLs (input and output) of transactions.
  • Some changes to become active need a refresh of the account provided by the support.
  • Vertex should be more on top of tax changes, sometimes they are late on applying them in the system.
Vertex can manage properly a huge classification of products. You can map your catalog by different attributes in order to set it up properly and retrieve the correct tax data for any transaction. You can use the O'series version for both your online and brick-and-mortar business with no distinction. You can test transactions [by] backdating them to verify old taxation rules. Vertex support is pretty responsive and quick to resolve tickets.

We use Vertex O Series for sales and use tax calculations. We have nexus in almost every state, and have a lot of sales to dealers - so we also license ECM (Exemption Certificate Manager), which allows us to seamlessly link the certificate scans to the customers. I have learned from auditors that Vertex is the auditor’s preferred data source as well.

  • Transaction data extract still requires use of a pivot table...
  • UI is not intuitive and there aren’t mouseover tips, so occasionally it can be difficult to figure out how to use unexplored features.
  • Would like to see more examples of how others use Vertex.
  • Recently learned of the very active user community for Alteryx. Would like to see Vertex incentivize users to share tips, tricks and advice.
Works well with SAP and is an all-round best choice for enterprise level sales and use tax requirements. Pricing can be a barrier for some organizations, and it’s not a product that you can license and configure on your own, you’ll need to budget for consulting and testing. Would like to see Vertex become more active in addressing use tax challenges posed by newer P2P systems, like Coupa, that don’t directly integrate with Vertex, and in fact create gaps in the accuracy of use tax accruals. Since Coupa pretends this is not an issue, I want Vertex to step up with a solution for tax departments who have to find workarounds for P2P software that operates in a vacuum.

Vertex O Series is used as the tax calculation engine for all business units in the US except for food and agriculture in our Dean Moines office.

  • It would be great if O Series would have an address search engine option. Sometimes customer data comes in without the zip code and we have to use an outside search tool to pinpoint the zip code.

Our Company is currently in the process of integrating Workday Cloud ERP with Vertex Cloud and moving to Vertex Returns Cloud. We currently use Vertex 7 On Premise - Consumer's Use. Our goal is to automate the verification of supplier sales tax and automate the ledger entries to self-assess use tax. We would also like to bring in the outsourced returns process to Vertex Cloud Returns.

  • The sales process around determining if on-demand vs. cloud would fit a client's needs.
  • Vertex Returns provided with the cloud lacks functionality when compared to the returns module used with on-premise or on-demand.
Vertex Cloud is more cost-effective and better for internal IT departments looking to decrease their efforts and time around the maintenance of an on-premise solution. If you are looking for an end to end solution, may not meet all of your requirements, if you are already using on-premise or on-demand.

O series is used to calculate both sales and use tax in our ERP system. We have one ERP instance. We also use it to manage exemption certificates. We only use O series for the US and Canada. All other tax is computed by our ERP. We use the tax reports to send data to a third party to tax return preparer.
  • Calculates accurate sales and use tax based on your configuration.
  • Monthly updates are easy to keep tax rules up to date.
  • Continues to improve its troubleshooting tools.
  • Missing an easy way to enter tax exemption certificates for reciprocal certificates. State certificates that are accepted in other jurisdictions.
  • The interface for creating tax assist rules in V.8 is very clumsy and not very user-friendly. Not intuitive and very technical.
  • The interface for creating reports is not user-friendly. It is very clunky and difficult to use. Particularly the filters.
It is well suited if you can identify product categories that have the same taxability and can be mapped in Vertex. The master data feeding the tool is important. You need to make sure you have a good way to keep materials categorized properly.

CONA is a service company that provides an IT platform for 12 Coca Cola bottlers. We have Vertex 7.0 installed as our tax calculation engine and it is bolted on to our SAP environment. We use the O Series for transaction taxes in North America (including Canada). This includes Sales and Use, VAT, Container deposits, CRFs, soft drink taxes, and Sugar-sweetened beverage taxes. We are able to handle multiple types of transaction taxes in one system. It saves time and money.
  • The O Series does a good job keeping the rates current for multiple tax types and fees.
  • The O Series has been quick to work with us on new tax legislation around soft drink taxes that get passed quickly and are implemented quickly.
  • The O Series support has worked well with us on our issues that require quick correction.
  • Some of the changes that were made to the qualifying conditions from the conditional rules caused us issues. We would have liked it if Vertex had continued to support the original conditional rule design but we have moved past that issue now.
  • We have had to create some of our own rules to accommodate the origin rules for soft drink taxes. We had hoped vertex would have been quicker to handle those.
  • We do still have issues with the return export file. The data is not always correct but we are working with support on this.
The content of Vertex is set up in a manner that works for our business. We can easily map to the rules and are able to make user changes easily. The tools for reporting in the O Series are beneficial to our bottlers. They can customize the reports to suit their needs and they like this flexibility. The partitioning feature was a must for us. We required a multi-tenant solution and the partition set up in the O Series provided our bottlers with the security they required and provided us the central repository that we needed for infrastructure and maintenance.

Currently, we are using it for our Sales (AR) to charge taxes on our product. We are in the process of implementing Vertex with the P2P side for purchases. The difficulty we have found currently is with the P2P integration into our ERP system since Workday is not fully integrated currently. So, we have a workaround. My fear is origin-based states and rate changes since a table will need to be updated until Vertex is fully implemented.

In Sales, it works great for origin-based states and states with local rates since our internal system could not handle it. Not having a tax engine and then implementing has definitely been a challenge but the outcome has been great on how Vertex is taxing our products and we don't have to manually add tax.

The ECM helps with the validation of certs and correct forms which helps lower the review time. We do not currently have ECM but after this conference, I'm going to try to implement in our company.

Vertex O Series is being used by myself as an administrator and by our company's accounts receivable team to manage exemption certificates. It is implemented with SAP ERP system and our Hybris e-commerce website.
  • Manages exemption certificates including images and different jurisdictions.
  • Nexus is very easy to configure.
  • User interface is easy to navigate.
  • The reporting functionality is not very robust. I utilize Accelerator for most of my reporting needs.
  • I would love if O Series had a document search functionality. My company previously utilized a different sales tax software and after a transaction was processed, you could go into the software front-end and search by billing document to see all the tax treatments and exemptions applied to that particular transaction.
Vertex O Series is well suited for businesses that have a variety of products. It can handle the taxability on so many different transaction types. It really is more robust than what my company needs, but we still find it works great for us.
